Purpose:

The purpose of the 2008 OctoberBest Regional High-Tech Manufacturing Conference & Expo is to bring together members of the local high tech industry in a fun atmosphere. The purpose of this event is to introduce and network local Northwest suppliers of services and products for electronics manufacturing, as well as learn the latest in electronics manufacturing technology at the educational sessions. Exhibitors are restricted to individuals or corporations with base of operation in the Northwest: Washington, Oregon and Idaho and western Canada. Exhibitors having only lay interest, or not of specific interest to those engaged in the field, will not be permitted.

Exhibit Space Charge:

Special sponsorships are offered-see the website for details. Two general booth spaces are available: 8’ x 8’ rental is $350 per booth and 8’ x 10’rental is $450 per booth if payment is received on or before August 1st, 2008. Each booth space rental increases to $450 and $550 respectively, if received after August 1st, 2006. The deadline for payment of exhibit space is August 29th, 2008. Payment in full must be submitted either on-line or must accompany the signed and completed Exhibitor Application Form. Paid rental includes 30 words and 1 logo in the show guide. Restriction: An exhibitor can share booth space with another authorized business for $125 each additional business & logo in the booth up to 4 businesses per booth, payable online with registration for the primary exhibitor. Logo and 30-word description for each additional business can be list in show guide for an additional $50. Note: logos received after August 22nd may NOT appear in the show guide.

Exhibit Hours:

Wednesday, September 24, 2008 - 9:00 AM - 5:00 PM

Contract:

This application, properly executed by the applicant, shall, upon written acceptance and notification of booth(s) assigned by the OctoberBest Exhibit Committee constitute a valid binding contract.

Installation/Dismantling:

The exhibit area will be available for set up Tuesday, September 23, 2008, from Noon to 4:30 PM on the day prior to the show date. All exhibits must be ready prior to 4:30 PM this day. Dismantling must not begin until after 5 PM following the end of the event.

Freight Movement:

Do not forward freight directly to the Tektronix Facility, Tektronix Company or facility manager without prior written approval by the facility manager. Exhibitors may deliver their own equipment directly to the exhibit booth Tuesday, September 23.

Parking:

Exhibitors may use the drop off area to unload exhibit materials. Then those vehicles must be moved to the designated exhibitor parking.

Cancellation Policy:

If an exhibitor must cancel space already contracted:
Prior to August 1st, 2008 = 100% refund: A $35 handling fee will be assessed
August 1st, 2008 through Sept.1st, 2008= 50% refund
After September 1st, 2008- No Refunds Cancellation notices must be written and signed by the appropriate company official and submitted to the Chair of OctoberBest. Space assigned to an exhibitor may be transferred by the Exhibition Committee to affect balance against congestion, to avoid confusion in firm names, to solve competitive conditions, or similar reasons. An exhibitor can sublet space to another party only with the Exhibition Committee’s prior approval.

Audience Control:

Audience quality control is extremely important and accordingly the following rules on admission will be enforced:

  1. All attendees and exhibitors must wear badges and be registered
  2. Identity badges will be good for the duration of the expo, with unlimited "in-out" privileges.

Booth Materials Provided by Conference:

The conference will provide each booth with the following:

  1. 8 foot high back wall drape, 8’ x 8’or 8’ x 10’ booth
  2. One 30" x 6’ table & table cloth
  3. 2 chairs
  4. Electrical service (light duty)
  5. (a)2 lunch & 2 drink tickets

Federal, State, Local Fire Laws and Regulations:

Must be strictly observed. Combustible decorations cannot be used in any manner by an exhibitor. The exhibitor is restricted in materials used to those, which would pass fire inspection. Aisles and fire exits cannot be blocked by exhibits.

Restrictions:

For obvious reasons, loud displays will not be permitted. In their own best interest, and for security, exhibitors will be required to keep an attendant in their booth(s) during all open hours. No exhibit may be dismantled before the exhibition closes, nor may any part of the exhibit or equipment be removed once it has been set up. All exhibits, back walls, and decorations will be limited to 10’ in height. Permission to exhibit equipment with abnormal heights or that are larger in size must be obtained from the Exhibition Committee.

Liabilities:

OctoberBest, Tektronix and their officers, employees, agents, or representatives will not assume or otherwise be responsible for any injury, loss, or damage to the exhibitor, the exhibitor’s officers, employees, agents or representatives, or their property, however caused. In addition, the exhibitor must assume responsibility for damage to the Tektronix property and indemnify and hold harmless Tektronix and OctoberBest for all liability that might arise out of the exhibit activities, whether or not such liability includes the sole or joint negligence of the sponsor from any cause whatsoever, including property damage, accidents, or injuries to exhibitors, their agents and employees, or to any member of the general public. All wiring on booths or display fixtures must meet Underwriters’ rules and standard fire department inspection. This applies to booth construction only, and not pre-wired equipment; the latter should be carefully checked to see that it conforms to standard electrical requirements and, as in the case of booth wiring or display fixtures, does not overload rated electric outlets. The Exhibit Committee and the sponsor will not be responsible for delays, damage, loss, increased costs, or other unfavorable conditions caused by any means whatsoever. Nothing shall be posted on, tacked, nailed, screwed or otherwise attached to columns, walls, floors or other parts or the exhibit area or furniture. Exhibitors violating this regulation are expressly bound at their expense to repair damage to property which they may cause.
